Description: What you'll be doing

Another Source’s client, Housing Trust Silicon Valley, is recruiting a Director of Loan Administration to join their team.

 

Housing Trust is headquartered in San Jose with a satellite office in Oakland. This role will manage a team primarily based in San Jose, regular in-person presence there is expected. Housing Trust offers a hybrid work schedule, and occasional work from our Oakland office may be considered based on individual circumstances.

About the role: 

 

Reporting to the Chief Credit and Risk Officer, the Director will lead a high-performing team of Loan Administrators and take full ownership of the loan closing process. This role requires deep expertise in multifamily affordable housing finance—including loan agreements, title policies, endorsements, and legal documentation—paired with strong leadership, strategic problem-solving, and cross-functional collaboration. The Director will work closely with internal teams across Lending, Asset Management, Finance, and Legal, as well as with external partners, to ensure timely, accurate, and compliant closings. The ideal candidate is a confident, collaborative leader known for precision, professionalism, and a strong commitment to HT’s mission. 

 

The anticipated yearly salary range for this position is: $127,000 - $175,000 annually based on experience 

 

What you will be doing:  

Team Leadership & Department Oversight  

  • Providing visionary leadership and hands-on management of the Loan Administration team during a period of transition and growth. 
  • Supervising and coaching team members to ensure timely, accurate, and compliant loan closings, while fostering professional development and engagement. 
  • Evaluating staffing needs, supporting recruitment, and cultivating a mission-aligned, high-performing team culture rooted in excellence, accountability, and inclusion. 
  • Maintaining and continuously improving departmental procedures, policies, and internal controls to ensure clarity, consistency, and operational integrity. 
  • Managing daily operations and workflows to optimize task allocation and ensure the timely execution of all closing activities. 
  • Ensuring accurate and consistent updates to systems of record (including Salesforce) throughout the closing process. 

 

Loan Closing Execution  

  • Overseeing all loan closing activities for secured multifamily construction and permanent loans, with specialized expertise in affordable housing finance. 
  • Reviewing, interpreting, and ensuring the accuracy of complex legal documentation, including loan agreements, title policies, UCC filings, and due diligence materials. 
  • Serving as the primary point of contact for outside counsel, coordinating with the Loan Administration team to analyze, draft, and review closing documents. 
  • Approving executed documents and confirming all closing requirements are satisfied prior to funding and loan boarding. 
  • Participating in loan closing calls, pipeline and loan committee meetings, and interdepartmental work sessions to ensure seamless execution. 
  • Proactively identifying and resolving closing issues, mitigating risk while maintaining a high level of service to borrowers and capital partners. 

 

Cross-Functional & External Collaboration  

  • Serving as the departmental lead in coordinating with internal stakeholders, including Lending, Asset Management, Finance, Legal, and Executive Leadership. 
  • Building and maintaining strong working relationships with external attorneys, title and escrow agents, borrowers, and institutional lending partners. 
  • Collaborating with Asset Management and Finance teams to ensure accurate loan setup and a smooth transition post-closing. 
  • Representing Loan Administration in strategic initiatives, technology enhancements, and cross-departmental planning efforts. 
  • Aligning departmental priorities with organizational goals in partnership with the Chief Credit and Risk Officer. 

 

Compliance, Servicing & Process Improvement  

  • Ensuring compliance with internal credit approvals, investor requirements, and all applicable regulations governing real estate lending. 
  • Partnering with Loan Servicing and Finance teams on invoice preparation and system transitions, including TEA implementation. 
  • Serving as a technical expert and resource for other departments on portfolio-related issues, document interpretation, and historical data. 
  • Leading continuous improvement initiatives to streamline processes, strengthen internal controls, and enhance the experience for borrowers and partners. 

 

Training & Development  

  • Providing technical support and guidance to the Loan Administration team on documentation, closings, and servicing activities. 
  • Assessing training needs and developing targeted plans for onboarding, cross-training, and continuous professional development. 
  • Promoting a culture of learning, innovation, and operational excellence across the team. 

 

Minimum Qualifications:  

  • Education in real estate fundamentals and/or paralegal studies with 7-10 years’ experience in closing commercial real estate and construction loans, preferably affordable housing loans.   
  • Construction lending expertise including documentation, review of construction contracts, project documents, familiar with title requirements for construction closing and disbursements related to construction loans.  
  • Strong knowledge of title, survey, formation documents, property, liability and flood insurance, and other real estate due diligence.  
  • Proficient in Microsoft Office, file management software (Box preferred), and CRM software (Salesforce preferred)  
  • Highly organized with an appropriate sense of urgency to manage multiple initiatives simultaneously and meet deadlines and mitigate risk.  
  • Strong written and verbal communication skills.

  • Prior management experience preferred.   
  • Underwriting or credit analysis experience, a plus.
